Key Responsibilities
The Administrative Assistant will be responsible for a variety of tasks that ensure the efficient functioning of the project. Key responsibilities include:
- Supporting the Chief Technical Advisor and project team with administrative and logistical tasks
- Assisting with budget preparation, monitoring project expenditures, and tracking performance indicators to ensure alignment with project objectives
- Managing procurement activities and vendor registration using enterprise systems such as SAP
- Organizing and coordinating project meetings, workshops, and events, including preparing agendas and logistical arrangements
- Receiving and managing incoming and outgoing correspondence, maintaining organized filing systems, and ensuring timely follow-ups
- Drafting routine administrative correspondence, preparing reports, and contributing to project documentation
- Supporting calendar management, travel planning, and scheduling to ensure efficient workflow
- Contributing to the preparation of periodic and final project reports, providing insights and recommendations based on administrative observations

Qualifications and Experience
Candidates should meet the following general qualifications:
- Completion of higher secondary education or equivalent
- Several years of experience in administrative, clerical, or project support roles, ideally within development or international organizations
- Strong proficiency in Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook
- Experience with enterprise resource planning systems, such as SAP, is highly desirable
- Fluency in Spanish and English, both written and spoken
- Excellent organizational, communication, and time-management skills
