Purpose of the Role

Under the direct supervision of the Operations Associate and guidance from the Operations Manager, the Administrative Assistant will execute a wide range of administrative and operational tasks to support the Bauchi Field Office.

The position ensures smooth communication, efficient workflow, and effective coordination of administrative functions across the office.

Key Responsibilities

1. Communications & Workflow

  • Manage office communications.
  • Support internal documentation processes.
  • Ensure smooth coordination between team members.

2. Calendar, Meetings & Correspondence

  • Organize meetings and maintain calendars.
  • Prepare and track correspondence.
  • Support documentation and follow-ups.

3. Events & Logistics

  • Coordinate office events and official engagements.
  • Manage logistical arrangements for workshops and meetings.

4. Travel Arrangements

  • Facilitate travel bookings and documentation.
  • Support travel-related administrative processes.

5. Invoice Processing

  • Process invoices accurately and in a timely manner.
  • Ensure compliance with UNICEF financial procedures.

6. Supplies, Equipment & Premises Maintenance

  • Monitor office supplies and inventory.
  • Support maintenance of office equipment and facilities.

7. Staff Absence Monitoring

  • Maintain updated records of staff leave and absences.

This role requires strong organizational ability, attention to detail, and familiarity with administrative systems.

Who Should Apply?

To qualify for this position, candidates must meet the following criteria:

Education

  • Completion of secondary education is required.
  • Additional technical or university-level coursework related to administration is desirable.

Experience

  • Minimum of 4 years of relevant administrative or clerical experience.

Language Requirements

  • Fluency in English is required.
  • Knowledge of another UN official language or local language may be an advantage.
