The Food and Agriculture Organization of the United Nations (FAO) is inviting applications for an Assistant(e) administratif(ve) (G-5) position based in Bissau, Guinea-Bissau. This is a locally recruited role. Applicants must be nationals of Guinea-Bissau (or possess a valid work permit) and reside within commuting distance of the duty station.

Key Responsibilities

The Administrative Assistant plays a vital role in ensuring the smooth operation of the FAO Country Office. The role combines administrative coordination, financial monitoring, and management support functions.

Financial and Budget Administration

  • Maintaining financial records and office systems
  • Managing imprest accounts and petty cash
  • Reconciling expenditures, balances, and payments
  • Monitoring project and programme accounts
  • Verifying fund availability and ensuring compliance with approved budgets
  • Preparing financial reports and flagging budget variances
  • Supporting budget consolidation and forecasting processes

Data and Reporting

  • Collecting, entering, verifying, and analyzing data from FAO systems
  • Performing necessary calculations and ensuring documentation accuracy
  • Preparing draft financial and administrative correspondence

Office and Asset Management

  • Maintaining administrative and financial filing systems
  • Managing local inventory records and safeguarding office assets
  • Monitoring government contributions and equipment transfer processes

External Liaison

  • Coordinating with local banks and financial institutions
  • Staying updated on exchange rates, regulations, and banking procedures

Operational Support

  • Supporting HR and equipment administration
  • Assisting in streamlining office procedures and introducing new IT tools
  • Providing guidance to other administrative support staff

The work of the Administrative Assistant directly impacts the efficiency, compliance, and overall performance of the FAO office in Guinea-Bissau.

Minimum Requirements

To be considered, candidates must meet the following criteria:

  • Education: Completion of secondary school education
  • Experience: At least four years of experience in administration, accounting, or office management
  • Language: Working knowledge (Level C) of French
  • IT Skills: Strong proficiency in MS Office, internet applications, and office equipment
