About the Role

The Administrative Specialist position is a 12-month non-staff contract based in Ulaanbaatar. The role falls under the FAO Representation in Mongolia and contributes to the STREAM+ Project—a flagship initiative supporting sustainable ecosystem and agriculture management for rural development.

This project is co-funded by the European Union and Germany’s Federal Ministry for Economic Cooperation and Development, with implementation led by GIZ and FAO managing the Agriculture and Land component.

Key Responsibilities

As an Administrative Specialist, you’ll ensure smooth day-to-day operations of the project. Your responsibilities will include:

  • Managing administrative processes, including drafting Terms of Reference (TORs)
  • Supporting recruitment of national and international staff
  • Coordinating procurement and tender evaluation processes
  • Monitoring petty cash and financial records
  • Providing travel and logistics support (including reports and claims)
  • Maintaining filing systems and official correspondence
  • Supporting communication and outreach activities
  • Organizing workshops, trainings, and meetings
  • Managing project assets and inventory
  • Assisting with vehicle operations and project logistics

This is a dynamic role requiring attention to detail, organization, and the ability to multitask in a multicultural environment.

Minimum Requirements

To qualify, applicants must meet the following criteria:

  • Bachelor’s degree in management, business administration, accounting, or related field
  • At least 5 years of relevant professional experience
  • Working knowledge of English (Level C)
  • Must be a Mongolian national

Preferred Qualifications & Skills

Candidates with the following will have an advantage:

  • Master’s degree (considered an asset)
  • Experience in large-scale project administration and procurement
  • Familiarity with UN systems
  • Strong communication skills in English and Mongolian
  • High proficiency in Microsoft Office tools
  • Excellent planning, organization, and analytical skills
